Efficiently Meeting a Saudi Client's Complex BOM Procurement Needs, One-Stop Solution for Hard-to-Find Models

In global industrial procurement, efficient fulfillment of complex BOM lists is often the "litmus test" of an enterprise's supply chain capabilities. Especially when a BOM list contains numerous rare and obscure models, the ability to respond quickly and match accurately directly determines the client's project progress and cost control. In February 2025, our cooperation with a large industrial manufacturing enterprise in Saudi Arabia demonstrated the core advantages of one-stop industrial spare parts procurement with efficient services: "33 models, 201 pieces, and full preparation within 4 days".

Case Background: A "Tricky" BOM List Affecting Project Progress On February 28, 2025, the Saudi client sent an urgent  BOM procurement list via email. As a local enterprise specializing in petrochemical equipment manufacturing and maintenance, they were making final preparations for the commissioning of a new production line. The 201 products (covering 33 models) in the list were key spare parts before the equipment could start, directly affecting whether the production line could be put into operation as scheduled.

However, the "difficulty level" of this list was far beyond that of conventional procurement:

  • Diverse models: The 33 models spanned multiple categories such as sensors, relays, connectors, and solenoid valves, involving different brands and technical parameters;
  • High scarcity: Nearly 1/3 of the models were "uncommon" with extremely low market circulation. Some were the last batches of products before a specific brand was discontinued. The client stated that "they had contacted 3 suppliers but none could fully meet the demand";
  • Time constraints: The client clearly requested to "shorten the preparation cycle as much as possible". If the spare parts were delayed, the commissioning of the production line would be stalled, with an estimated daily loss of tens of thousands of dollars.

Our Solution: Full-Link Collaboration, Solving the "Fulfillment Difficulty" in 4 Days

Upon receiving the BOM list, we immediately activated the "emergency procurement response mechanism" and efficiently advanced through a three-step process of "inventory verification + supplier linkage + technical verification":

  • Accurate pricing and inventory locking: Completed the parameter verification of 33 models (including brand, specification, and applicable scenarios) within 2 hours. It was found that 18 models could be directly allocated from our own warehouse (accounting for 65% of the total), and the remaining 15 rare models triggered a search in the supplier network;
  • Targeted sourcing for rare models: Relying on long-term cooperation with more than 200 global industrial brand agents, we contacted 3 first-level suppliers for "uncommon models" and confirmed that all sources were locked within 2 hours. This included the last 5 pressure sensors from a brand before discontinuation and special-specification relays that only circulated in the European niche market;
  • Full-process quality control and expedited preparation: All products underwent secondary quality inspection before warehousing (verifying model labels and testing basic functions). Packaging and centralized storage were completed within 48 hours, and finally, all 201 products were packed and shipped on the morning of the 4th day. The client checked the preparation progress in real-time through an exclusive procurement dashboard. When informed that "all models had been fully prepared", their procurement manager sighed during a video communication: "We originally prepared for batch arrivals, but we didn't expect you to solve it in one stop within 4 days. This has gained crucial time for the commissioning of our production line.

Core Product Analysis: From Conventional to Rare, Covering Multi-Scenario Industrial Needs

Although the products in this BOM list are diverse, they all focus on industrial automation control and equipment monitoring scenarios. The following is an analysis of the functions and applications of some typical models, including some "niche gems" that are rare in the market but crucial in applications:

  • Brand: Siemens Model: 7ML5033-1BA00-1A (rare model)

This is a high-precision liquid level sensor from Siemens before discontinuation. It adopts the ultrasonic measurement principle, with a range of 0-5 meters and an accuracy of ±0.2%. Despite being discontinued, it is still widely demanded in old oil storage tank renovation projects. The Saudi client used it for the liquid level linkage control between the original storage tank and the new production line. Due to extremely low circulation, we locked the last 5 units through the German original spare parts warehouse channel. Its high-temperature resistance (-40℃ to +80℃) and dust resistance can perfectly adapt to the harsh industrial environment in the Middle East.

  • Brand: Omron Model: G2R-1-SN(S) DC24V (conventional model)

This small power relay from Omron is a "regular" in industrial control circuits. It has a rated current of 5A and supports a DC24V coil voltage, commonly used in the switch control of solenoid valves and small motors. The client purchased 16 units for the pneumatic valve control module of the production line. Its advantages lie in a long contact life (mechanical life up to 10 million times) and a compact size, which can be densely installed in the control cabinet to save space.

  • Brand: Phoenix Contact Model: 1604493 (rare model)

This industrial connector from Phoenix Contact is a "customized derivative model" with a dustproof and waterproof shell (IP67 protection), suitable for signal transmission interfaces of outdoor equipment. Due to being only a supporting model for a German construction machinery brand, its market circulation is extremely low. The client purchased 8 units for connecting outdoor monitoring terminals of the production line. Its quick plug-in design (installation time is 40% shorter than conventional connectors) greatly improves on-site commissioning efficiency.

  • Brand: Burkert Model:2000-A-04.0-F-AB-GM82-0000(conventional model)

This two-position two-way solenoid valve from Burkert is a classic in the field of fluid control. With a diameter of DN4, it is suitable for on-off control of water, air, and slightly corrosive liquids. The client purchased 32 units for the cooling liquid circulation system of the production line. It is characterized by fast response speed (≤50ms) and low power consumption (only 1.8W), which can accurately match the start-stop rhythm of the equipment and reduce energy consumption.

Customer Feedback and Deepened Cooperation: From One-Time Procurement to Strategic Partnership

On March 5, all products arrived at the Saudi client's factory smoothly. After unpacking and verification, all model parameters and functions met the requirements, and the production line commissioning started as scheduled. The client wrote in the acceptance report: "It's not just about speed, but more importantly, your ability to source rare models and control product quality has completely freed us from the tedious process of 'comparing prices across multiple channels and receiving goods in batches'. This is exactly the supply chain partner we need."

After this cooperation, the client has included us in the "core spare parts supplier list" and added a second BOM list procurement (15 models, 89 pieces) in late March. We have also launched the "priority reservation for rare models" service for them. By sharing inventory data, we lock in possible uncommon spare parts for the client in advance to further shorten the procurement cycle.

Why Choose Us for Your BOM Procurement?

The procurement of complex BOM lists tests not only "having goods in stock" but also the comprehensive capabilities of "completeness, speed, and accuracy":

  • Full-category inventory coverage: Our own warehouse stores over 100,000 industrial spare parts models, covering more than 50 mainstream brands such as Siemens, Omron, and Phoenix Contact. Conventional models can be shipped "on the same day of ordering";
  • Rare model sourcing network: Relying on 20 years of industry accumulation, we have established a rare spare parts channel covering Europe, America, and Southeast Asia, providing targeted sourcing services for discontinued models and customized products;
  • One-stop service for peace of mind: From model verification and parameter confirmation to logistics tracking and after-sales support, an exclusive account manager is assigned throughout the process, eliminating the need for clients to contact multiple suppliers.

Whether your BOM list is for conventional procurement or contains "difficult problems", we can be a solid backing for your industrial projects with efficient response and reliable supply. Contact us now to get an exclusive BOM procurement solution.
